These Terms & Conditions apply to photography sessions booked with Joanna Photography. Please read them carefully before confirming your booking.
1. Booking and Payment
1.1 Booking Confirmation
A booking is confirmed once the £40 booking fee has been paid and the session date and time have been agreed.
The booking fee is deducted from the total session price. It reserves your chosen time slot, which will be held for you and unavailable to other clients.
1.2 Remaining Balance
The remaining balance is due on the day of the session, unless another arrangement has been agreed in advance.
1.3 Payment Methods
Payments are accepted by bank transfer and cash. All payments must be made by the agreed deadline.
1.4 Booking Fee and Client Cancellation
The £40 booking fee is non-refundable if you cancel your session. The booking fee reserves your chosen date and time and is deducted from the total session price.
2. Rescheduling and Cancellations
2.1 Rescheduling by the Client
You may reschedule your session once, provided you give at least 48 working hours’ notice.
Working days are Monday to Friday and exclude bank holidays. Rescheduling is subject to availability.
If you request a change with less than 48 working hours’ notice, the booking fee will normally be forfeited.
After the permitted reschedule has been used, any further date change will require a new £40 booking fee.
2.2 Cancellation by the Client
If you cancel your session, the £40 booking fee is non-refundable.
2.3 No-Show
If you do not attend your session and have not contacted Joanna Photography, the booking may be treated as cancelled and the booking fee may be retained.
2.4 Cancellation by Joanna Photography
If Joanna Photography needs to cancel your session, you may choose to reschedule to another available date or receive a refund of the booking fee and any other payments made for the session.
If a session cannot proceed because of circumstances outside either party’s control, Joanna Photography will contact you to discuss the available options.
3. Studio Location and Attendance
Joanna Photography operates from a home-based studio at 18 Plimsoll Street, Derby. Studio visits are by appointment only.
The studio address and any arrival instructions will be confirmed directly with clients before their booked session. Please do not attend without a confirmed appointment.
Please confirm in advance who will be attending your session, including all adults and children. As the studio is located in Joanna Photography’s home, only people agreed with Joanna Photography before the session may attend. Please do not bring additional visitors without checking in advance.
3.1 Arrival Time
Please arrive on time for your session. A 15-minute grace period may be allowed where possible.
Arriving late may result in a shorter session. If the delay means the session can no longer reasonably go ahead, Joanna Photography may need to cancel it.
If you think you will be late, please contact Joanna Photography as soon as possible.
3.2 Children and Family Members
Parents or guardians are responsible for supervising their children and accompanying family members during the session.
Please inform Joanna Photography before the session of any relevant needs or considerations that may help the photographer prepare and support your family during the shoot.
4. Session Details and Client Responsibilities
4.1 Session Limitations
Joanna Photography will make reasonable efforts to accommodate your requirements. However, the number of people, pets, props and setups may be limited by studio space, session type, time available or outdoor conditions.
Please discuss any special requirements before booking.
4.2 Special Requests and Setups
Special setups, themed decorations, custom props or other requests that involve additional costs may incur extra charges.
Any applicable additional charges will be discussed with you before the costs are incurred.
4.3 Client Preparation
Clients are responsible for arriving prepared for their session and bringing any items they have been asked to provide.
For Cake Smash sessions, the cake is not included in the package price and must be provided by the client. Please inform Joanna Photography in advance of any relevant allergies or dietary requirements.
4.4 Cake Smash Outfit
Clients should bring one outfit for their child to wear during the session. You may also wish to bring a change of clothes for afterwards, as the cake-smash part can get messy.
4.5 Outdoor Sessions
Outdoor sessions may be affected by weather or other conditions. If conditions are unsuitable, Joanna Photography may contact you to discuss rescheduling.
5. Image Selection, Editing and Delivery
5.1 Selection Gallery
Your selection gallery will be sent within 48 hours after your session.
The selection gallery contains unedited proof images for you to view and choose from. These proofs are not the final edited photographs and may include a watermark.
5.2 Selection Period
Your selection gallery will remain available for one month. Please select your included images within this period.
If you need more time, contact Joanna Photography before the gallery expires to request an extension. Extensions are subject to approval.
Joanna Photography does not provide automatic reminders, although you may receive a check-in where possible.
5.3 Expired Galleries
If your selection gallery has expired, you may contact Joanna Photography to ask whether it can be reopened.
A £10 gallery reopening fee may apply. The fee will be confirmed before the gallery is reopened.
5.4 Editing
Only the photographs included in your package and any additional images you purchase will be professionally edited.
All images are edited to Joanna Photography’s professional style and standards. Significant or extensive retouching requests may incur an additional fee. Any additional charge will be discussed and agreed with you before work begins.
5.5 Additional Images
Additional edited images may be purchased at the following prices:
- 1 additional image — £15
- 3 additional images — £40
- 5 additional images — £65
- 10 additional images — £120
Additional images must be selected and paid for before they are edited and delivered.
5.6 Final Delivery
Final edited images will be delivered within 3–4 weeks after you submit your image selection.
Delivery will be made through the agreed digital method. If you require urgent delivery, please discuss this before booking; an additional fee may apply.
5.7 RAW Files
RAW files are not supplied to clients.
5.8 Final Images
Final edited images are delivered without a watermark.
6. Image Retention and Resending
6.1 File Retention
RAW files are retained for 6 months. Final edited images are retained for 1 year.
Clients are responsible for downloading and backing up their delivered images within this period. Joanna Photography cannot guarantee that files will remain available after the applicable retention period.
6.2 Resending Delivered Images
The first request to resend a previously delivered gallery or download link is complimentary.
A £5 administration fee may apply to further resend requests.
This does not include reopening an expired selection gallery, which may be subject to the separate £10 reopening fee.
7. Additional Charges
7.1 Sunday Sessions
Sunday sessions are available by request and include a £20 Sunday surcharge.
The surcharge will be confirmed before the booking is completed.
7.2 Travel
The first 5 miles each way from the Joanna Photography studio are included.
For locations beyond 5 miles each way, travel is charged at 55p per additional mile, calculated on the return journey from the studio.
Any applicable travel charge will be confirmed before the session.
8. Copyright and Image Usage
8.1 Copyright Ownership
All photographs taken during the session remain the copyright of Joanna Photography.
Clients receive permission to use the final delivered images for personal purposes. Commercial use, resale or publication for commercial purposes is not permitted without prior written consent from Joanna Photography.
8.2 Promotional Use
Joanna Photography may ask clients for permission to use selected photographs for promotional purposes, such as on its website, social media pages and photography portfolio.
This permission is requested separately in the booking form and is optional. Choosing not to give permission will not affect your session, package or service.
The booking form will allow clients to choose whether they agree to child-only photographs, photographs that include family members who have agreed, or no promotional use.
Permission may be withdrawn by contacting Joanna Photography. Withdrawal will apply to future use; it may not be possible to remove images already printed, published or shared by third parties.
9. Privacy and Data Protection
Joanna Photography respects your privacy and is committed to protecting your personal information.
Personal information may include your name, contact details, booking information and details you provide when enquiring, booking or communicating about your session.
This information is used to respond to enquiries, arrange and deliver photography services, communicate with you and meet applicable legal obligations.
Personal information is handled in accordance with applicable data protection law. It will not be sold to third parties.

10. Venue Access and Permissions
For sessions at a venue chosen by the client, the client is responsible for checking that photography is permitted and for informing Joanna Photography of any restrictions in advance.
The client is also responsible for arranging appropriate access, including any required entry passes or parking arrangements.
Joanna Photography is not responsible for missed photographs or reduced coverage resulting from venue restrictions or limitations that were not disclosed in advance.
11. Safety and Liability
Clients are responsible for the supervision and safety of children and accompanying family members during the session.
Joanna Photography will take reasonable care while providing the photography service. Nothing in these terms excludes or limits liability where it would be unlawful to do so.
If Joanna Photography is unable to provide the booked service, the available options will be discussed with the client, including rescheduling or refunding payments where appropriate.
12. Agreement
By confirming a booking, you acknowledge that you have had the opportunity to read these Terms & Conditions and agree to the terms applicable to your session.
The version applicable to your booking will be the version provided to you at the time of booking. These Terms & Conditions may be updated from time to time.
